A companion app for G-Suite admins to do administration on-the-go.

Objective :
Design a digital service to provide assistance to plan ad-hoc events and make the process of doing it as convinient as any other daily life activity.

INTRODUCTION

We are social beings and we love to bond and socialize. With time our cities and our resposibilities keep growing, and we move more afar from our friends and family, we shift to digital world to keep in touch with them. This brings the challenge of planning mutual meetings and events. This case study is an attempt to make this task convinient.

RESEARCH

I approached via qualitative method by taking personal interviews and. I studied existing web services on creating and attending events and tried to analyze how I can derive a solution that can help people to plan and attend get-togethers.

Existing Scenarios

Six people were interviewed withing age group 20-30 years, who are smartphones users and comfortable with and using apps and websites for performing different tasks. The questions were based on-

Time and Place : When and How do you plan?

Communication How do you discover and follow-up?

Order of events : What are the different stages?

Based on the interviews, I created three personas who vary in proficiency with different digital services in their everyday lives. Each persona has a specific scenario which starts from 'how the planning of an event begins' to 'what happens after the event.

Observations

Communication for planning :
Messengers like whatsapp and facebook are convinient to communicate with one person or a group of people eg. friends, family, colleagues. For planning smaller gatherings, user prefer to create a private group giving access to specific pool of people.

Small meetups are private :
For planning smaller gatherings, user prefer to invite and discuss with limited number of people. This is in contrast with the public events where the invite is visible to everyone.

Communications beyond texts :
In specific cases people share media such as photos, vidoes and audio which help to communicate better with other people in the group.

Invitating in person:
Meeting people personally and inviting them to the event is also preffered to show importance and respect.

Painpoints

Information Overload :
Overload befalls due to availabity of too many choices and unnecessary notifications. Information overload creates diversion in user flows.

Redundancy of reminders :
When reminders are not distinguished from rest of the notifications, people ignore them even if they are important.

Prioritization :
The messenger fail to prioritize the difference between regular conversations and planning. The clutter may result in losing track or important information.

Inferenece

Purpose is mandatory :
Every event starts with a subject. The subject defines the purpose of the event.

Group Planning:
Meeting people personally and inviting them to the event is also preffered to show importance and respect.

Gradual addition of details overtime :
For smaller gatherings, event details such as time, location, date of event can be added during the act of planning. This will simplify the steps for creating new event. Users prefer to elaborate the title to accomodate more details.

Scope of Work

Within the spectrum of digital services (mobile and web-based) used at present for event plannnig, people require a rather more private and specific platform for planning their meetups in daily life. A new platform will take out the muddle from social messengers and organise them according to user's preferences. The solution will be based a web-based product for smartphones (in this case android platform) to adapt with the existing services and act as a mediator rather than a stand-alone solution.

DESIGN

Based on the inferences, the key objectives of the app are following-

A median to get friends together

Friends can make plans together for participating in bigger events for eg. concerts, workshops, bienale etc.

Polls for faster decisions

Members can mutually take decisions by conducting polls and get and overview.

Decide goals

Members can suggest or decide the tasks for making arrangements for their meetup.

Share resposibilities

Hosts and members can assign tasks to specific person.

A Scenario with huddle

Som is a student in coservatorium. He is looking forward to play in an upcoming Open Jam Session "UJazz". Therefore he wants to prepare playing some songs.

Scene 1.

Som has late classes today. So he decides to create a Huddle with his music friends for their practice. So, he sends the invite to Enrico and Thomas.

Scene 3.

After joining the huddle, his friend Thomas reminds him to book a room at for practice. He pins the message for Som.

Meanwhile Som also shares the audio of the audio inside the huddle for prep.

Scene 3.

Som reaches the conserveatorium and books a room. He opens the huddle and posts an update for everyone about the booking.

Scene 4.

After their jam Som asks his friends if they are interested in joining him for christmas market hopping later.

They join the group via QR code for receiving updates.

Introspect on the case study

One of the major challenges was creating a balance between user's convenience and organization of information. From the research, I found that people avoid multiple steps to acheive a goal quickly. One such example is saving a contact info, where people skip filling out all information and prefer to mention the information what is relevant for them.

Another challenge was deciding the homepage for the app amongst the list of huddles and list of events. This might create a confusion for users in understanding the primary objective of the app.

I thoroughly enjoyed working on this assignment, obtained good insights on the importance of communication in planning our daily events. I would like to thank my friends who dedicated their time for the interviews and posing for my photographs.

Future Scope

Incorporating AI : AI can play a major role in managing the updates and polls on the Huddle wall. It can simplify the process of pinning texts on the huddle wall by detecting or suggesting the relavant messages on its own.

Beyond Text communication : Video Conferencing The discussions cannot be limited to sending text messages, audion and pictures but can allow users to stream live and share their emotions as well.
